Map the workflow before choosing tools

Use a simple status path:

Approved idea -> research -> verified outline -> script -> narration
-> edit -> thumbnail -> quality and rights review -> scheduled -> measured

For every handoff, define the owner, required inputs, expected output, deadline, and acceptance check. A folder full of unlabeled files is not an SOP. It is a scavenger hunt.

Put quality gates where mistakes get expensive

At minimum, stop and review after:

  1. Research, before false claims enter a script.
  2. Script, before narration and editing multiply the error.
  3. Rough cut, before final rendering.
  4. Final package, before publication and monetization checks.

The operator should be able to trace a factual claim to a source and a visual or music asset to its license or permission. If that evidence is missing, the asset is not ready.

Give AI bounded jobs

Good AI tasks have visible inputs and testable outputs: cluster analytics, summarize supplied sources, propose outlines, flag contradictions, draft metadata, or generate alternatives.

Do not ask a model to decide whether a claim is legally safe, whether footage is licensed, whether a script is fully true, or whether content will be monetized. YouTube's current policy requires original, authentic value and can review the channel as a whole. The tool does not take responsibility for the upload. You do.

Where this gets expensive

Time requirements depend on topic risk, team maturity, production style, and how much the operator personally reviews. Do not promise a two-hour week before measuring the real workload. A finance explainer, current event, or sensitive documentary needs more verification than a low-risk evergreen tutorial.

Systemization reduces repeated decisions. It does not erase accountability, management, or creative judgment.
